Your information

Privacy, without the small-print maze.

This notice explains what Rydealog collects, why we use it, who receives it and the choices you have. We do not sell personal information or use it for behavioural advertising.

Who we are

Rydealog is operated by EMWOTIVA LTD, a private limited company registered in England and Wales under company number 16490035. EMWOTIVA LTD is the controller of the personal information described in this notice.

This notice covers the Rydealog mobile app, rydealog.com and related support and administration services. “Rydealog”, “we”, “us” and “our” refer to EMWOTIVA LTD.

Information we use

Account and profile data

Your email address, display name, account identifier, authentication provider, account creation details, delivery area, driver and vehicle settings, pay defaults, preferences and any useful links you choose to save. If you use Google or Apple sign-in, we receive the account information that provider makes available according to your settings.

Shift, mileage and motion data

Shift start and finish times, booked shifts, worked duration, route-derived mileage, step counts, parking-timer settings and reminder choices. Rydealog can continue calculating an active shift from its stored start time when you leave or reopen the app.

Location data

With device permission, Rydealog uses precise or approximate location to calculate mileage during an active shift, find nearby delivery information, attach audit metadata to evidence, show local weather and alert you near a saved place. Background location is used only when the shift-tracking feature is active. Search terms, postcodes or coordinates may also be used to retrieve nearby public information.

Earnings and expense data

Pay entries, delivery partner, payout status, expenses, mileage rates, vehicle costs and estimated profit or tax figures you create in the app. These are user-managed work records; Rydealog does not receive your bank credentials or pay you as an employer.

Evidence photographs

Van-check and proof-of-delivery images, labels, capture time, optional GPS coordinates, watermark text, storage path and sync status. For a signed-in non-anonymous account, evidence photographs and their audit metadata are uploaded to a private account-specific area in Firebase so you can restore and review them across app reinstalls. You control what you photograph and must avoid unnecessary personal information.

Community delivery tips

Delivery tips you submit, the place and optional coordinates, category, source, moderation status, confirmations and feedback such as still correct, wrong, outdated, unsafe or private information. Community tips are designed to help other drivers and must never contain personal data, access credentials or gate codes.

Subscription and purchase data

RevenueCat, Apple App Store or Google Play provides subscription product, entitlement, renewal and purchase-status information needed to unlock Rydealog Pro. We do not receive your full payment-card details.

Device, support and security data

App version, operating system, device permissions, notification and Bluetooth preferences, technical error information, support correspondence, moderation actions and security or deletion audit data. After account deletion, we keep only a one-way hash of the former account identifier in a minimal deletion audit, rather than the original identifier.

Private Vault: gate codes and private access notes saved in Rydealog’s Private Vault remain on your device. They are not uploaded as community tips or shared with other drivers.

How and why we use it

Lawful bases: UK data protection law requires a lawful basis for each use of personal information.

Contract

We use account, work-record, evidence and subscription information where necessary to create your account, provide features you request, synchronise your records, restore purchases, supply Rydealog Pro and provide support.

Legitimate interests

We use limited information to secure Rydealog, prevent abuse, moderate community tips, diagnose service problems, maintain accurate records and improve reliability. Our interests are operating a safe and useful driver service. We balance those interests against your rights and do not use this basis where the impact on you would be disproportionate.

Legal obligation

We may process and retain information where necessary to comply with tax, accounting, consumer, regulatory, court or law-enforcement obligations that apply to us.

Your choices and consent

Your device asks before giving Rydealog access to location, camera, photo library, motion, Bluetooth-related functionality or notifications. You can change those permissions in device settings. Where consent is the applicable legal basis, you may withdraw it at any time; this does not affect earlier lawful processing. Some requested features cannot work without the corresponding permission.

Automated moderation

Community feedback and safety rules may automatically publish, lower the visibility of or hide a delivery tip. This protects drivers and does not make a decision with legal or similarly significant effects about you. Administrators can review moderated content.

Who receives information

We disclose only what is needed for the relevant service:

  • Google Firebase for authentication, account records, cloud functions, private evidence storage and database hosting.
  • Google and Apple when you choose their sign-in service, and Apple App Store or Google Play for app distribution, purchases and subscription management.
  • RevenueCat for subscription entitlement and purchase-status management.
  • OpenStreetMap and Overpass providers, MET Norway, platform geocoding providers and UK council open-data services for nearby places, maps-derived delivery information, coordinates and weather.
  • OpenAI for structured public-area research when free map and public sources do not provide enough delivery information. The request is designed around the place and missing delivery need; we do not send your private gate codes, evidence photographs, earnings or identity for this research.
  • Professional advisers, courts, regulators, law enforcement or a buyer of the business where disclosure is lawful and necessary.

A community delivery tip and its confirmation status can be visible to other signed-in drivers. Your public profile, email address and private account records are not displayed with the tip.

We do not sell or rent personal information.

International transfers

Some service providers operate in the United States or other countries outside the United Kingdom. Where personal information is transferred internationally, we use providers and arrangements intended to comply with UK data protection law, such as UK adequacy regulations, the UK International Data Transfer Agreement or UK Addendum to approved contractual clauses, together with relevant technical and organisational safeguards.

How long we keep information

We use the following criteria rather than keeping every category for one fixed period:

  • Account-linked records are kept while your account is active and while needed to provide the feature, resolve a dispute or meet a legal obligation.
  • Local device records remain until you remove them, clear the app, uninstall it or complete account deletion, subject to device backup behaviour controlled by Apple or Google.
  • Private cloud evidence is kept with your account until you delete the account or it is otherwise removed through the service.
  • Community tips and votes are kept while useful for the community and moderation, but account deletion removes content linked to your account from Rydealog’s active collections.
  • Subscription and transaction records may be retained by the app store, RevenueCat or us as required for purchase restoration, fraud prevention, accounting and consumer-law compliance.
  • Minimal security and pseudonymous deletion-audit records are kept only as long as reasonably necessary to demonstrate deletion, protect the service and meet legal requirements.

Backups and distributed systems may take a limited period to cycle out deleted information.

Security and your choices

We use account authentication, owner-scoped database and storage rules, encrypted network connections, access controls and administrative audit records to protect information. No online service is risk-free, so use a strong unique password, protect your device and report suspected misuse promptly.

You may deny optional permissions, keep private codes only in the Private Vault, avoid adding location to evidence, disable photo watermarks and notifications, or use manual shift controls. Permission choices can affect feature availability.

To permanently remove your Rydealog account, open Settings → Account & Data → Delete account, enter the requested confirmation and select Delete account. This is designed to delete your authentication account, account-owned cloud records, private evidence storage and local Rydealog data.

Subscription cancellation is separate. Deleting your Rydealog account does not itself cancel a subscription billed by Apple or Google. Cancel it in your App Store or Google Play subscription settings.

Your data protection rights

Depending on the circumstances, UK data protection law may give you the right to:

  • ask for access to your personal information;
  • have inaccurate or incomplete information corrected;
  • ask us to erase information;
  • restrict how we use information;
  • receive certain information in a portable format;
  • object to processing based on legitimate interests;
  • withdraw consent where processing relies on consent; and
  • complain to a data protection regulator.

Email support@rydealog.com to exercise a right. We may need to verify your identity and may ask you to clarify a request. We normally respond within one month, subject to lawful extensions or exceptions.

Questions or complaints about privacy can be sent to support@rydealog.com or to our registered office. Please contact us first so we have an opportunity to help.

You can also complain to the Information Commissioner’s Office (ICO), the UK data protection regulator, through ico.org.uk or by telephone on 0303 123 1113.

We may update this notice when Rydealog, our providers or the law changes. We will publish the revised date here and use an appropriate in-app notice where a change materially affects you.
